Thomas Smith CPA, PLLC also works with individuals for their tax preparation needs. Individual tax preparation is no longer about entering data on forms. It is understanding the opportunities and planning, the timing of decisions.

With a team of seasoned and experienced employees and contractors, we have managed to work with clients with a professional “local” approach. How We Work

Our team of tax professionals will work with you to complete your business and individual taxes. Every return is prepared, reviewed twice to ensure accuracy and completeness. We know how complicated taxes can be, our job is to help you navigate this process with minimal stress to you while maximizing deductions and remaining compliant with government regulations.

Each Tax Preparation firm has its own process. You certainly have choices. Big Box firms prepare while you wait. We do not prepare while you wait. We believe a better product is given to our clients if we prepare the returns and review them twice.

From the time you contact us you will experience a professional approach without the anxiety of dealing with taxes and government.

Our Process

Data Gathering

If you are a new client, your initial meeting will be a chance for you to decide if the firm is a good fit for you and a chance for us to understand your situation and the services you require. After the meeting with one of our tax professionals, the first step is to set up your secure client portal through our Client Managment System called Canopy. You will receive a link to your portal after you decide to be a client. This allows you to upload your tax documents including your prior year tax returns for us to review to get to know you better.

TIP – when meeting with a new CPA request an estimate of fees. We should be able to estimate most individual tax preparation fees. The portal is not a requirement but most clients appreciate the convenience.

In January (or after your meeting) you will get three documents. The first is our engagement letter which must be signed in order for us to start your return 2) A letter explaining due dates of when you must submit your documents in order for us to complete on time without an extension and 3) An electronic Organizer. This Organizer is a series of questions to walk you through Gathering information for your tax preparation. At the end of the Organizer there will be a list of documents you should upload to the portal.

Once the Engagement letter is signed and the Organizer complete with uploaded documents NOTIFY our administration team that you are ready for us to start your tax return. (admin@tsmithcpa.com)

If you have any issues with your portal, our admin team is very experienced with the system and can walk you through the process

When you have everything uploaded, please send us an e-mail letting us know you are ready for us to start. Typical turn around time is 2 weeks, and we will let you know if that deadline cannot be met.

TIP – If you get your documents to us early there is a chance we will beat the 2 week turn around

Tax Preparation and Reviews

Your return will be prepared by one of our tax professionals who may contact you for additional questions or clarifications. Once prepared, either a CPA or EA will review your return for accuracy, and completeness. Tom will do a final review looking for missed opportunities and strategies.

Tip If you have not heard from us in two weeks after you submitted all your documents, give us a call or send an email for a status.

Tax Return, Invoice and Form 8879

Once your return has passed final review we will send you a draft of the return, your invoice and a form 8879 for you to sign to allow us to efile.

Tip – Your Tax return will have a cover letter. It is key. It tells you whether you owe or get refunds and whether we have the system set to draft from a bank account or for you to write a check.

Your part

With your return now in your secure portal, please review and ask any questions! We want you to understand your return and our reviewers are happy to walk you through the return. You will also receive a copy of the form 8879, allowing us to e-file your returns on your behalf and our invoice.

Tip – Once you sign the Form 8879 it is our signal to efile. Don’t sign unless you are ready.

Tip – You will see the letter says you must pay and sign Form 8879. If you have not paid we will not efile.

Confirmation

With the payment and e-filing forms complete, we will e-file your return and send confirmation to your portal.

Tip – Your return and documents remain in your portal and available for you to download at any time.
